Code repeat transactions with bank rules
Teach Billbook how to code bank lines you see every month, so reconciling them is one click.
- When a line says…
- Code it to…
- Suggested
- You OK it
A bank rule says: when a bank line looks like this, code it like that. Your phone bill, rent and bank fees are good candidates. Matching lines show up as suggestions for you to OK, or you can apply your rules in one go.
How do I add a bank rule?
- Open Bank and choose Bank rules.
- Choose New rule and give it a Rule name.
- Choose whether it's Money going out or Money coming in, and for which Bank account.
- Under When the bank line…, pick what to look at (Description, Payee, Reference or Amount) and the text or amount to match.
- Under Code it to, choose the account and GST.
- Choose Save rule.
Example
When the description contains "telstra", code it to your phone and internet account with GST.
Can one rule check more than one thing?
Yes. Use Add a condition, then set Match to All conditions or Any condition.
Can a rule split a line across accounts?
Yes. Choose Split across another account and give each account its share as a percentage. The shares must add up to the whole.
How do I run my rules on lines already imported?
Open the account, choose New, then Apply bank rules now. Lines that match are reconciled straight away.
How do I turn a rule off?
Edit it and untick Rule is on. Deleting a rule leaves the lines it already coded as they are.
