Supplier credits and refunds
Record a credit a supplier gives you, then use it against a bill or record their refund.
- Record credit
- Approve
- Apply to a bill
- Or get a refund
A supplier credit is money a supplier owes you back: a return, a discount after the fact, or a mistake on their bill. Record it so what you owe them stays right.
How do I record a supplier credit?
- Open PurchasesSupplier credits and start a new one.
- Choose the Supplier and add the lines, just like a bill.
- Choose Approve.
It then shows as Available until it's used.
How do I use it against a bill?
- Open the supplier's unpaid bill.
- Under More actions, choose Apply credit.
- Pick the Credit and check the Amount to apply.
- Choose Apply credit.
What's left of the credit stays available for the next bill.
The supplier refunded me. How do I record it?
- Open the supplier credit and choose Refund.
- Enter the Amount, the Date and the account it was Paid into.
- Choose Record refund.
Refunds work for credits in your own currency. A foreign currency credit can still be applied to a bill.
Can I pay a supplier before they bill me?
Yes. Open the supplier from Contacts and choose Pay in advance. The money sits as credit with that supplier, ready to apply to their next bill.
