Enter a bill by hand
Record what a supplier has billed you, so you know what you owe and when it's due.
- New bill
- Supplier
- Lines and tax
- Approve
A bill is what a supplier has charged you. Once it's approved it shows in what you owe, your reports and your BAS (Business Activity Statement).
How do I enter a bill?
- Open PurchasesNew bill.
- Choose the Supplier, or type a new name to add them.
- Fill in the Date, Due date and Supplier's invoice no..
- Set Amounts are to match the bill: Tax inclusive or Tax exclusive.
- For each line, add a description, amount, Account and Tax rate. Use Add a line for more. If you use tracking categories, pick an option under each line.
- Choose Approve.
Got the paper bill?
Snap it instead and Billbook fills the bill in for you.
Can I save it and finish later?
Yes. In the menu next to Approve, choose Save as draft, or Submit for approval if someone else signs off on bills. If you can't approve bills yourself, Submit for approval is the main button.
How do I change a bill?
Drafts and bills waiting for approval have an Edit button. An approved bill can't be edited: open More actions, choose Void, then use Copy to make a corrected one.
Voiding takes the bill out of your books and BAS, and it can't be undone.
Can I bring in lots of bills at once?
Yes. On PurchasesBills, choose Import and drop in a CSV file. The bills arrive as drafts to check, and suppliers you don't have yet are added for you.
The Free plan includes 10 bills a month.
