Record time and work in progress
Log time against a client or job, see what's unbilled, and keep billable and non-billable work apart.
- Log time
- Builds up WIP
- Invoice it
Work in progress (WIP) is billable time you've logged but not yet invoiced or written off. Log time as you go and it's ready to bill when the job's done.
How do I log time?
- Open the client and go to BillingTime.
- Choose Log time.
- Enter the Date, Hours and a Description.
- Leave Rate $/hr blank to use your usual rate, shown in the box. Type a rate to charge something else for this entry.
- Pick a job under Job (optional) if the time is for one. It then counts in the job WIP recovery report.
- Untick Billable for time you won't charge.
- Choose Log time.
Time is always logged as you, against the client. There's no timer, so enter the hours when you're done.
You can also choose Log time on a job's page. The time goes on that job and its client.
Your usual rate is the firm's hourly rate, set in Firm settingsServices & prices.
Where do I see what's unbilled?
At the top of the Time screen: total hours, Unbilled (work in progress) and Billed. Each entry shows its hours, rate and amount, with a badge if it's Non-billable, Billed or Written off.
Can I change or delete an entry?
Yes, with the edit and delete buttons on its row, until it's billed or written off. After that it shows Locked. You can move an entry to another of the client's jobs, or take it off a job, when you edit it.
Need to change billed time? Delete the draft invoice, or void or credit the invoice, in your firm's books. The time goes back to WIP and can be changed again.
Who can log and change time?
Staff can log time and change their own entries. Changing someone else's time needs permission to manage time, which staff have unless a partner turns it off. Without the permission to log time, Log time and the edit buttons don't show. The edit buttons also only show on other people's time if you can manage time.
How do I bill it?
From the client's BillingBilling. Writing off time you won't charge is done there too.
