Services and prices
Set up what your firm does and charges, then tick services on each client to set up their due dates, jobs and fees.
- Your price list
- Tick on a client
- Due dates and jobs
- Invoice
Your price list is the work your firm offers and what it charges. Ticking a service on a client also sets up the lodgements it covers, so their due dates and jobs appear by themselves.
How do I add a service?
- Go to Firm settingsServices & prices and choose Add a service.
- Enter a Name and, if you like, a Description.
- Enter the Price (ex GST), or leave it blank for now.
- Under Charged, pick Each time or Monthly.
- Under For, pick Individuals, Businesses or Anyone.
- Under Sets up due dates for, pick the lodgement it covers, or Nothing, a fee only.
- Tick Add-on if it's charged on top of a main service, like a rental schedule.
- Choose Add service.
Only people who manage the firm can change the price list. Everyone else sees it read only.
Why do some services say "Add a price"?
New practices start with a list of common services and no prices. Each one shows Add a price until you set one. A service with no price can't go on an invoice.
How do I change or retire a service?
Choose the pencil on its row to open Edit service, then Save. Services can't be deleted. Untick Offered to take one off your list; clients who already have it keep it.
How do I change my hourly rate?
- Go to Firm settingsServices & prices.
- Under Hourly rate, type your Hourly rate (ex GST).
- Choose Save.
This rate values your team's time (WIP, work in progress). It's one rate for the whole firm. Leave it blank if you don't bill by the hour.
Fixed fees or time?
You can charge both ways, side by side:
- Fixed fees come from the services you tick on a client. You invoice them from the client's BillingServices & fees.
- Time is what your team logs on the client. It builds up as WIP and you invoice it from the client's BillingBilling.
How do I set a client's services?
- Open the client and go to BillingServices & fees.
- Under We do this for the client, tick each service you do for them.
- For an add-on, set the Qty, like the number of rental properties.
- Under Agreed price, ex GST, type their price if it's different. Leave it blank to use your list price.
- Choose Save services.
Only services that suit the client show, so a company sees the company return, not a trust return. The total at the bottom shows what they pay per return or period, and a month.
A client with a blank price pays your list price, so changing the list price changes theirs. Type their price on the client to fix it.
What happens when I save?
If the lodgements the client's services cover have changed, this year's due dates update to match, and the message says so. Services that lodge something say (we lodge it), and those lodgements become the firm's. Their engagement letter takes its scope and fees from these services too.
How do I invoice a fixed fee?
- Save any changes first. The invoice boxes only show when everything's saved.
- Tick the box under Invoice on each service to bill. The period it bills shows beside it.
- For a monthly service, pick the month. It starts on the next month not yet billed.
- Choose the invoice button beside Save services. It says how many services you've ticked.
A draft invoice is saved in your firm's books, with one line per service and its period. Each line is linked to the client's open job of the same kind, so it shows on that job. Find the draft in the client's BillingBilling, then approve and send it from your firm's books.
Which period does a fee bill?
- A service that lodges something bills the period of its open job, like a BAS quarter. With two jobs open, the earlier period goes first.
- Any other service charged each time bills the financial year.
- A monthly service bills the month you pick.
Can a fee be billed twice?
No. Each service is billed once a period. Once it's billed, the service shows a Billed badge with the period, and Billbook refuses a second invoice for it. To bill it again, delete the draft or void the invoice in your firm's books. That frees the period.
