Set up jobs for clients

Get jobs set up when a client signs, add your own, and find every client's jobs.

  1. Letter signed
  2. Jobs set up
  3. Preparer and reviewer
  4. On the Board

A job is one piece of work for one client, like this year's tax return or a quarter's BAS (business activity statement). Each job has a preparer, a reviewer, a due date and a status.

Where do jobs come from?

When a client signs their engagement letter, and you've recorded how you checked their identity, Billbook sets up their obligations for the year and one job for each. You can also start a job yourself. Either way, the preparer and reviewer come from the staff assigned to the client, or its group.

How do I add a job myself?

  1. Open the client's WorkJobs and choose New job.
  2. Under For, pick the obligation it's for, or Other work for anything else, like advice or a one-off query.
  3. Give it a Job name. For an obligation you can leave it blank to use the usual name.
  4. Set a Due date if you need one. For an obligation, blank means its own due date.
  5. Choose Create job.

The job starts as Not started. If it has a preparer, it's on the Board straight away. With no preparer, find it in the Backlog.

You can also start a job straight from the client's WorkObligations with Start job. An obligation that already has an open job shows Open job instead, so you won't double up.

How do I see a client's jobs?

Open the client's WorkJobs. Each job shows its status, Preparer, Reviewer and due date. Closed jobs are greyed out. Click a job's name to open it.

How do I see the whole firm's jobs?

The WorkBoard shows what your team is working on now. The WorkBacklog shows everything not yet lodged, by when it's due.

How do I work a job?

Open it, then move it through its stages, tick off its checklist and send it for review. The work a job guide walks through each part.
