Send an engagement letter and set up the year's work

Generate a branded engagement letter from the client's services, send it for signing, and let Billbook set up their jobs once it's signed.

  1. Generate letter
  2. Send to sign
  3. Check ID
  4. Jobs set up

An engagement letter sets out the work you'll do and what you'll charge. When the client signs it, Billbook starts the engagement and sets up the year's obligations and jobs.

How do I create the letter?

  1. Open the client's WorkDocuments and choose Generate letter.
  2. Check the Service name.
  3. Edit the Scope of services, one bullet per line.
  4. Check the Fees.
  5. Under Also covers, tick any related clients the same letter is for. Clients in the same group are suggested; Add another client… finds others.
  6. Choose Generate letter.

The letter is filed in the client's documents as an engagement document, with your firm's branding. It's shared with the client straight away. You only see Generate letter if you have permission to generate documents.

Set the client's services first in BillingServices & fees. The scope and fees then fill in from your prices.

How do I send it?

Open WorkSignatures and choose Send for signature. The letter you just made is already picked. See the signatures guide for the rest.

What happens when it's signed?

Each client the letter covers is engaged from the day it's signed. As soon as the last person signs, Billbook adds this financial year's obligations and a job for each, and the request shows Jobs set up.

Each job takes its preparer and reviewer from the staff assigned to the client or its group. Jobs with a preparer that are due soon show on the Board; the rest are in the Backlog.

No identity check yet? The request shows Verify their ID to set up jobs. Record the check in the client's ClientDetails with Record identity check. Billbook sets up the jobs as soon as you save it, including for any other client the same letter covers.

Does an uploaded letter set up jobs too?

Yes, if it's filed in the Engagement category when you send it for signing.

Signed on paper or in another tool? On the client's setup checklist, choose Mark… next to the engagement letter, then Done (signed outside Billbook). Billbook sets up the obligations and jobs the same way, once the identity check is recorded. It only does this once per client.
