Send documents for signing
Send any client document to one or more people to read and e-sign, and follow who has signed.
- Upload
- Send for signature
- They sign
- Locked record
You can send any document on a client's file for e-signing: a tax return, an engagement letter, minutes or a declaration. Once everyone has signed, it's locked as a read-only record.
How do I send a document for signing?
- Upload the document to the client's WorkDocuments first.
- Open WorkSignatures and choose Send for signature.
- Pick the Document. The newest one is already picked.
- Under Who signs, tick each signer.
- If the client has jobs, pick a Job (optional).
- Choose Send for signature.
Everyone gets their email at once. Sending shares the document with the client.
Billbook tells you who usually signs, from the client's structure, such as the directors of a company.
No Send for signature button? The client needs a document and a contact with an email first. Add one on the client's ClientContacts. Sending also needs permission to send for signing; ask a partner if you still don't see it.
How do signers sign?
Each signer gets their own link. People with client app access sign there. Anyone else gets a one-off signing link by email, which lasts a month. They open the document, then type their full name to sign.
What if someone declines?
Any signer can decline and give a reason. That ends the whole request, and the reason shows on the row and in Questions. Fix what's needed and send a new request.
How do I see who's signed?
The Signers column shows each person and whether they've opened or signed. The status reads Sent, Viewed, Signed, Declined or Cancelled. With more than one signer, it counts how many have signed.
Billbook doesn't email you when someone signs, and doesn't send reminders. Check the status here or on the job.
Where's the signed copy?
Once everyone signs, the document is locked as a read-only record in the client's documents. Download it from there.
Can I take a request back?
Yes, while it's waiting on signers. Choose the cross and confirm Withdraw. It then shows Cancelled. You need permission to cancel signing requests to see the cross.
What happens when an engagement letter is signed?
If the document is in the Engagement category, Billbook sets up the client's obligations and jobs as soon as the last person signs. The row then shows Jobs set up, or Verify their ID to set up jobs if there's no identity check yet. See the engagement letters guide.
