Plan the firm's work on the Board and Jobs

Start due work, drag live jobs across the Board, group them by person, and find any job on the Jobs page.

  1. To start
  2. Start job
  3. Board
  4. Done

The Board shows the work your team is on right now. The Jobs page has every job, open or done, and everything that's due with no job yet.

Where do jobs come from?

From people, never by themselves. Billbook works out what's due from each client's services and lists it under To start. Someone then starts the job, says it was already done, or says it isn't needed this time. Home shows how many are due with no job yet.

How do I start due work?

The To start strip sits at the top of the Board, with the soonest due first. With a long list it starts folded: click it to open.

  1. Choose Start job on a row to start that one, with the client's usual preparer.
  2. To start several, tick them and choose the Start button that appears.
  3. Check the preview. It lists exactly which jobs will be made.
  4. Tick One job per client to make each client's ticked items one job, with one invoice.
  5. Confirm with the button at the bottom.

The ⋯ on a row has Already done, Not needed this time and Open their services. See setting up a client's work for what each one does.

What's on the Board?

Jobs being worked on, plus jobs that are due soon, overdue, have no due date, or were finished recently. Jobs due further out are on the Jobs page. The columns are:

  • Not started.
  • In progress: in progress, waiting on client, review and ready to lodge.
  • Done: done, lodged, assessed and billed.

How do I use the Board?

  1. Open WorkBoard.
  2. Drag a card to another column to move the job.
  3. Click a card to change its status, people, priority, due date or blocker without leaving the Board.
  4. Under Group by, pick Assignee to see who's on what, Priority, or None. Grouped by assignee, jobs with no preparer have their own Unassigned row.

Dragging a card into Done marks a lodgement lodged, and any other job done. When grouped by assignee, dragging a card to another person's row hands the job to them.

How do I make a job?

Choose Create, or press C. Pick the Client, then fill in the job the same way as on a client's page. See setting up a client's work.

What's in the strip above the columns?

Counts of what's overdue, due this week, unassigned and waiting on the client. Click the overdue, due this week or unassigned count to filter the Board, and again to clear it. If your practice has more than one person, there's also a count of jobs for your review, which opens them on the Jobs page.

How do I find a job on the Board?

Type in Search entity or job…. Under Assignee, pick people, Only me or Unassigned. Filters narrows by Priority and Work type. Clear all resets everything.

Too many to show? The Board shows the busiest cards and says so. Narrow the filters or use the Jobs page.

What's on the Jobs page?

Open WorkJobs. It has three tabs:

  • To start: every client's due work with no job yet, with the same buttons as the strip on the Board. Search it with Search client or service….
  • Open: every job that isn't finished.
  • Done: finished jobs, whether done, lodged, assessed or billed.

The list is paged, so it stays quick with any number of jobs. Click a row to open the same panel as on the Board.

How do I filter the Jobs page?

Pick a Client, Preparer, Reviewer or Status, or set Due from and Due to. More filters has the type of work and the priority. Type in Search client or job… to find one by name. Clear all resets everything.

Waiting for my review shows the jobs in review with you as the reviewer.

How do I hand out unassigned work?

  1. On the Board, click the unassigned count, or on the Jobs page set Preparer to Unassigned.
  2. Open a job and pick a Preparer, or choose Assign to me.

Set a Default preparer in your team settings, and jobs for clients with no preparer of their own go to that person.
