Where do I start?
Set up your practice
Work through the setup steps for your firm's details, registrations, services, team, own books and first clients.
Invite your team and set what they can do
Invite staff by email, give each a role, choose which clients they see and fine-tune their permissions.
Move from your old practice software
Bring your client list, ledgers, asset registers and documents across from HandiSoft, Xero Practice Manager, MYOB AE or a spreadsheet.
Find your way around Billbook Practice
Learn the home page, the top menus, search with ⌘K and how a client's page is laid out.
How do I bring clients in?
Add a client and their entities
Add a person, business, trust or fund as a client, link the people and entities around them, and work through their setup checklist.
The client page, section by section
Find your way around a client's page, from the overview to their books and tax.
Give clients access to the client app
Invite a client's people to the Billbook client app, choose what each can do, and resend or cancel invitations.
Put clients into groups
Keep a family or one owner's companies and trusts together, see their open work in one place and assign staff to the lot.
How do I run the work?
Send an engagement letter and set up the year's work
Generate a branded engagement letter from the client's services, send it for signing, and let Billbook set up their jobs once it's signed.
Set up jobs for clients
Get jobs set up when a client signs, add your own, and find every client's jobs.
Plan the firm's work on the Board and Backlog
Drag live jobs across the Board, group them by person, and use the Backlog to see everything still due.
Ask clients for documents and details
Request a document, check what the client uploads, then accept it or send it back with a reason.
How do I work in a client's books?
Work in a client's books
Connect to a business that keeps its books in Billbook, then reconcile, review and report on them from the client's page.
Import a client's ledger or trial balance
Bring a client's trial balance, bank statements, asset register and documents into Billbook from the software they use now.
Workpapers
Back up each balance with a workpaper, tie it to the ledger and track it through review to sign-off.
Financial statements
Produce a client's profit or loss and financial position from the ledger, map accounts to lines, then finalise and download the PDF pack.
How do I do tax work?
Prepare an income tax return
Start a client's return for the year, fill in the labels and schedules, check the working and get it ready to sign.
Activity statements for clients
Prepare a client's BAS or IAS from their books and pay runs, check it, mark it ready and record it as lodged.
Send a return to your client to sign
Email the return to the right people to review and sign, then check when it's signed.
Set up ATO lodging
Work through the short setup that lets your firm lodge returns and activity statements with the ATO from Billbook.
How do I stay compliant?
Run AML/CTF customer due diligence
Set up your practice's AML/CTF program, mark designated services, and complete customer due diligence before the work starts.
Keep your TPB records
Log CPE for every registered practitioner, and keep the conflicts of interest and breach registers the TPB expects.
Keep company registers and ASIC notices up to date
Keep each client company's officeholders and members, track the ASIC changes you need to notify, and work through each annual review.
Check who did what in the audit log
Search the firm's read-only record of significant actions, filter it by action and date, and export it to a spreadsheet.
How do I bill clients?
Services and prices
Set up what your firm does and charges, then tick services on each client to set up their due dates, jobs and fees.
Record time and work in progress
Log time against a client or job, see what's unbilled, and keep billable and non-billable work apart.
Invoice clients and chase debtors
Turn a client's work in progress into an invoice in your firm's books, and see who owes your firm money.
The partner program
Earn a share of what the clients you bring to Billbook pay, and get it paid into your bank each month.
What else should I know?
Use AI help in Billbook Practice
Turn on the AI features your firm wants, then check and accept, change or reject every suggestion before anything is saved.
Keyboard shortcuts
Search and jump anywhere with Command K, and move between a client's sections with G and a letter.
Try Billbook Practice with sample clients
Open a sample practice full of made-up clients and work, try anything you like, then reset it or delete it.
Assign a preparer and reviewer to clients
Put staff on a client, a group or a person's whole family of clients, decide who sees which clients, and let new jobs pick the right people.
