Getting started

Move from your old practice software

Bring your client list, ledgers, asset registers and documents across from HandiSoft, Xero Practice Manager, MYOB AE or a spreadsheet.

  1. Upload a file
  2. Check the rows
  3. Import
  4. Send invites

Export your client list from your old system as a CSV file and upload it to Billbook. You check every row before anything is created, and running the same file again never makes duplicates.

You need the Import client data permission. Owners and admins have it; ask one to turn it on for you.

How do I bring my clients across?

  1. Open Firm settingsData migration.
  2. Under Source system, pick HandiSoft, Xero Practice Manager, MYOB AE or Generic CSV.
  3. Choose Upload client-list CSV and pick your export.
  4. Check the rows Billbook read from the file.
  5. Choose the import button to add them as clients, or Discard to start again.

Every upload is listed under Import batches, so you can come back to one later.

How do I bring a client's ledger or assets across?

  1. Under Import a ledger into, choose the client and the Financial year.
  2. Choose Upload trial-balance CSV or Upload asset-register CSV.
  3. Check the rows, then import the assets, or post the accounts to the client's ledger.

Last year's figures can also come from a return or financials PDF already on the client's documents. With AI help on, extract them there and they're staged here for you to check and post.

How do I bring documents across?

Choose Select documents to import and pick the files. Billbook matches each file to a client by its name. Fix any it couldn't match, pick a category, then import. Every document needs a client before it can come in.

When are my clients invited to the client app?

Not straight away, so nobody gets an email mid-move. Imported clients with an email wait as ready to send. When you're ready, send them all from the same page.

Columns are matched loosely, so you rarely need to rename them first. Each upload lists the columns it looks for.
