Getting started

Use AI help in Billbook Practice

Turn on the AI features your firm wants, then check and accept, change or reject every suggestion before anything is saved.

  1. Turn a feature on
  2. Ask for a suggestion
  3. Check it
  4. Accept or reject

AI help drafts the fiddly parts: mapping ledger accounts, reading figures out of documents and drafting client queries. It never saves, sends or lodges anything by itself. A person always checks it first.

Which AI features are there?

  • Account-mapping suggestions: suggests the statement line and type for a ledger account.
  • Document data extraction: reads figures out of a scanned document, with the page each came from.
  • Prior-return comparatives extraction: reads last year's figures out of a return or financials PDF.
  • Variance-review client queries: drafts a question for the client about a big year-on-year movement.
  • Books intake (drop-everything import): sorts a whole folder of exported files on a client's Import books so it can come in at once.

How do I turn them on?

  1. Open Firm settingsTeam.
  2. Under AI features, tick each feature your firm wants.

They're all off until you turn them on. Only people who can manage the team see this section.

Personal details are taken out before anything is sent to the AI.

How do I get a mapping suggestion?

  1. Open the client's BooksLedger.
  2. Choose Suggest beside an account.
  3. Check the Statement line and Type, and change them if needed.
  4. Choose Accept & apply, or Reject.

Accepted mappings become firm rules. Next time an account like it comes up, the suggestion is marked Firm rule instead of AI suggestion.

How do I read figures out of a document?

  1. Open the client's WorkDocuments.
  2. Beside a document, choose the extract button. Hover it to see Extract data (AI).
  3. Check each value against the page shown beside it, and correct any that are wrong.
  4. Choose These are right or Not right.

Nothing is saved to the client from here. Copy the figures you need into the return or workpaper.

The buttons only show on documents Billbook could read text from. A blurry photo may not have any.

How do I bring in last year's figures from a return?

  1. On the client's WorkDocuments, choose the button marked Extract prior-year comparatives (AI) beside the PDF.
  2. Check the Income year ending 30 June.
  3. Remove any rows that look wrong.
  4. Choose Stage to migration, then Open Migration.

You check and post the trial balance on Firm settingsData migration, where it has to balance before it goes in.

How do I draft a client query from a variance?

  1. Open the client's BooksVariances.
  2. Choose Draft query on the movement you need explained.
  3. Edit the Question.
  4. Choose Save as client note, or Discard.

It's saved as a note on the client. Nothing goes to the client.

Does AI help run out?

Each active client brings a monthly allowance of AI help, and your firm has its own pool on top. See where you're up to on Firm settingsUsage. If a client uses theirs, Billbook says it has used this month’s AI and when it renews.

Telling Billbook whether a suggestion was right, with your corrections, helps improve the AI.
