Add a client and their entities
Add a person, business, trust or fund as a client, link the people and entities around them, and work through their setup checklist.
- Add the client
- Link entities
- Setup checklist
- Invite (optional)
A client is one taxpayer: a person, sole trader, company, trust, super fund or partnership. A family with a company and a trust is three clients, linked by the people they share.
How do I add a client?
- Open ClientsAll clients and choose New client.
- Under What kind of client?, pick the type and enter the name.
- For a business, enter the ABN and choose Look up on ABR.
- Fill in Who you’ll talk to and, under Related people, Add a person for each director, trustee or partner.
- Optionally, under Groups and staff, pick Groups, a Preparer and a Reviewer.
- Choose Add client.
Not engaged yet? Tick Just a prospect for now, not yet engaged. Want every field? Use the Full details form.
Duplicates
An ABN or TFN already on another client is stopped. A matching name only shows a note, with Open their file if it's the same client.
Staff who see only their assigned clients can't add clients. Ask an admin if you need to.
How do I add their company or trust?
Open the client and choose Related client from its menu. The people are filled in already, so each entity takes a minute.
What’s on the setup checklist?
Set up this client lists the engagement letter, proof of identity, the documents you need and the ATO steps. Mark anything that doesn't apply as Not needed. If the engagement letter was signed outside Billbook, mark it Done (signed outside Billbook) and Billbook sets up the year's jobs, once identity is checked. Proof of identity and the ATO details are filled in on the client's ClientDetails.
Proof of identity and the engagement letter must be done before you can lodge for the client.
How do I invite them to the client app?
It's optional: signing and uploads work by email link without it. Open the client's ClientContacts, choose Add contact and tick client app access. Then pick Full access, Upload only or View only.
Next
A client's details, ABN and proof of identity

Assign a preparer and reviewer to clients
Put staff on a client, a group or a person's whole family of clients, decide who sees which clients, and let new jobs pick the right people.
