The client page, section by section
Find your way around a client's page, from the overview to their books and tax.
Each client has one page. Their name and main buttons stay at the top, and their sections are listed down the left, grouped by the kind of work.
What's on the overview?
Overview is what's going on right now: Needs attention, Current work, Waiting on the client and Pinned notes, beside their Key details.
What do I do with Needs attention?
It lists loose ends that need a person to decide, each with its fix right there:
- Main contact has gone: choose Make main contact for someone else.
- Turning 18: End guardian access at 18.
- Estate not set up: Set up the estate and pick the executor.
- No director or trustee left: Update the structure.
- Own return needs a reviewer: Pick a reviewer.
Each one disappears once it's sorted.
What are the section groups?
- Client: Details, Contacts, Structure, Notes, Comms and, for companies, Company secretarial.
- Work: Jobs, Obligations, Requests, Signatures, Documents and AML/CTF.
- Billing: Services & fees, Time, Billing and their Statement of account.
- Books: Books & advisers, Sales & purchases, the ledger, bank, reports, variances, assets, statements, workpapers and imports.
- Tax: Income tax, Activity statements, PAYG instalments and the other tax registers.
Books and Tax start folded. Open them once and they stay open. A count beside a section shows what needs you there, like things overdue or waiting for review.
You only see sections that fit the client. A franking account shows for companies, super caps for individuals, and tax screens only if your practice does tax work.
What do the buttons at the top do?
- The people button lists the people behind the client and their groups. Choose Add to a group or Change groups from it.
- New adds a Note, Document request, Upload a document, Send for signature, Time entry or Related client.
- Edit changes their details, and holds Merge a duplicate and Close account.
Press G and then a letter to jump between sections: G then O for the overview, G then J for jobs. Hover a section to see its key.
What if the client has left?
A closed client's file is kept as a read-only record. You can still invoice for work done, keep AML records and add notes. Choose Reopen account under Edit to bring them back.
