Merge, archive or end a client
Combine a client added twice, archive one who's left, or record that a business has ceased or a person has died.
Clients come and go. Nothing is deleted: when a client leaves or stops trading, their due dates stop and their history stays.
How do I merge a client added twice?
- Open the client you want to keep and choose Edit.
- Choose Merge a duplicate.
- Pick the other record and choose Merge.
Its returns, documents, jobs, notes, ABN and AML file move across. If both have the same thing, such as a return for the same year, the duplicate's copy stays on the duplicate, which is archived.
How do I archive a client who's left?
- Open the client, choose Edit, then Close account.
- Pick Left the firm and save.
Archived clients leave the active list and every insight. Find them under Archived on ClientsAll clients. Their file stays as a read-only record: you can still invoice for work done, keep AML records and add notes.
Archiving a batch? Tick them on ClientsAcross clientsInsights and choose Archive.
A business stopped trading. What do I pick?
Under Close account, pick Ceased or Deregistered and the date. If another entity carries on the business, choose it under Taken over by. Add that new client first if it isn't in Billbook yet.
A client has passed away. What do I do?
Pick Passed away, enter the Date of death and choose the Executor. Leave Set up the deceased estate as a client ticked to add the estate as a new client.
How do I bring a client back?
Open them, choose Edit, then Reopen account, and pick Back with the firm or Still active. Recorded a date of death or a cease date by mistake? Reopening undoes it, and their due dates carry on as before.
