Log calls, meetings and emails with a client
Keep a record of conversations your team had with a client outside Billbook, and see which emails Billbook sends for you.
- Had a conversation
- Log it
- On the record
A client's ClientComms is the record of calls, meetings and emails your team had with them outside Billbook. Nothing is sent to the client from here.
How do I log a conversation?
- Open the client's ClientComms and choose Log a conversation.
- Under Who got in touch, pick We contacted the client or The client contacted us.
- Add a Subject if you like.
- Write What was discussed.
- Choose Log conversation.
It's listed newest first, with who logged it and when.
Can I change or delete one?
Yes. Choose the pencil on it to edit, change what you need and choose Save. Choose the bin to delete it. You can change the ones you logged; a partner can change anyone's. The audit log keeps a copy of what it said before.
Emails Billbook sent from older versions are a record of what went out, so they can't be changed.
Staff can log conversations by default. An admin can turn off Log client conversations for someone under their Permissions on Firm settingsTeam.
Should I use Comms or Notes?
Use Comms for a record of what was said. Use ClientNotes for your own file notes and for follow-ups with a due date and an owner.
What emails does Billbook send to clients?
Only emails tied to something you've done in Billbook:
- Invitations to the client app.
- Signature requests and document requests, and another copy when you resend one.
- A tax checklist that's ready to fill in.
- Your replies to their questions.
- Handing their books over to them.
Billbook doesn't send texts, newsletters or chasers of its own. The wording is set by Billbook, and your practice name shows on each one.
See every email exactly as it arrives on Firm settingsTemplates, under Emails to clients.
