Everyone in your firm gets their own sign-in. You invite them by email, and they choose a password and set up two-step sign-in when they join.
How do I invite someone?
- Open Firm settingsTeam and choose Invite member.
- Enter their email and pick a Role.
- Choose Send invite.
They get an email to create their sign-in and join. Waiting invitations are listed under Pending invitations with when they expire. Choose Revoke to cancel one.
Only owners and admins can manage the team. Everyone else sees that they don't have access.
What can each role do?
- Member: day-to-day work, without managing the team, money or sign-offs.
- Admin: full access, including the team, money and sign-offs.
- Owner: full access, and can't be locked out or restricted.
To change someone's role later, pick a new one in the Role column. The list also shows whether each person has two-factor turned on and which clients they can see.
How do I limit which clients someone sees?
- Choose Clients beside the person.
- Untick Sees every client.
- Assign them to the groups and clients they work on, as preparer, reviewer or member.
Assigning someone to a group covers every client in it, including ones you add later. Their assignments also decide who new jobs go to.
How do I change one person's permissions?
Choose Permissions beside them. Each permission starts at their role's default; set it to Allow or Deny to override it. The owner's permissions can't be changed.
What else is on the team page?
- AI features: turn each AI helper on or off for the firm.
- Security & records: two-step sign-in is on for everyone, and you can choose to delete old audit log entries after a set time.
Someone lost their phone. What now?
Open the menu beside them and choose Reset two-factor. They set it up again next time they sign in. To take away their access, choose Remove from firm. They lose access straight away, and their permission overrides and client limits are deleted.
