Financial statements

Produce a client's profit or loss and financial position from the ledger, map accounts to lines, then finalise and download the PDF pack.

  1. Ledger
  2. Map accounts
  3. Finalise
  4. PDF

The statements are built straight from the client's posted ledger, so they change as journals post. Finalise them when the year's done and the figures are locked for tax work.

Where are the statements?

Open the client, go to BooksStatements and pick the Financial year. You'll see the Profit or Loss and the Financial Position, with the client's reporting framework beside the year.

Empty? Post journals or import a trial balance first.

How do I change which line an account shows on?

  1. Choose Map accounts.
  2. Pick a statement line for each account, or leave Default (by type).
  3. Each choice saves straight away, and the statements update.

How do I finalise them?

  1. Check the figures, and that the financial position shows Balanced.
  2. Choose Finalise and confirm.

The statements show Finalised, and tax returns and other work use these figures. A PDF of the statements is filed in the client's documents, shared with the client so they can see it in the client app.

Finalising also locks the client's books to 30 June of that year, for everyone, so no journal can post into the year and the figures stay put. If a later lock date is already set, it stays.

Need a change? Reopen them. Billbook puts the lock date back to what it was, unless someone has changed it since. If the books are still locked, change the lock date in BooksBooks & advisers. Tax work stops using the figures until you finalise again.

Who can finalise?

Finalising and reopening is its own permission, separate from mapping accounts and making the PDF. Ask a partner if you don't see Finalise.

How do I get the PDF?

Choose PDF. It opens in a new tab, built fresh from the ledger each time. It's the compiled pack: detailed statements with prior-year comparatives, notes, a depreciation schedule and the compilation report.
