Import a client's ledger or trial balance

Bring a client's trial balance, bank statements, asset register and documents into Billbook from the software they use now.

  1. Export from their software
  2. Add the files
  3. Posts to the ledger

A trial balance is a list of every account and its balance at year end, where debits equal credits. Import one and Billbook posts it as a single balanced journal, so you can review, report and prepare the return without retyping anything.

Most accounting software exports a trial balance as a CSV for free. Search their help for "export trial balance".

How do I bring a client's whole file over at once?

  1. Open the client and go to BooksImport books.
  2. In each box (Trial balance, Bank statements, Fixed assets, Documents), choose Add files.
  3. Check the summary under each file. Remove any you don't want with the cross.
  4. Billbook reads the year from a trial balance. If it can't, pick the Financial year. For a statement, pick the Bank account.
  5. Choose the import button to bring everything in together.

Each file then shows what happened, like how many transactions or assets came in and how many were already there. Documents are filed against the client.

Excel files are fine: Billbook reads the first sheet. Bank statements can be CSV, OFX or QFX.

Importing needs permission to manage the ledger, and fixed assets need permission to manage assets.

How do I import just a trial balance?

  1. Go to BooksImport ledger.
  2. Pick the Financial year the balances belong to. The same year is then picked on the Ledger and Statements.
  3. Choose Import trial balance (CSV) and pick the file.

It needs an account code and a balance (or debit and credit columns). An account name and type help for new accounts. A Prior column also posts last year's figures as comparatives. The message after says how many journals posted, and lists any warnings.

Uploading again is safe

A corrected file replaces the earlier import. It never posts twice.

Can I get the trial balance back out?

Yes. Download trial balance (CSV) on the same screen saves the trial balance for the year you've picked.

Can Billbook pull it from their software directly?

Not yet Coming soon. Export a file and import it for now.
