Keep books for a client, and hand them over
Create books your firm keeps for a client, decide who does what, and hand them to the client when they're ready.
- Create books
- Your firm keeps them
- Hand over
- You stay on
Not every client wants to do their own books. Your firm can keep them in Billbook (ledger, bank, assets, BAS and TPAR), then hand them over whenever the client is ready.
How do I create books for a client?
- Open the client and go to BooksBooks & advisers.
- Choose Create books.
Importing a ledger or posting a journal creates them too. The screen then shows Held by your firm.
Creating, handing over and leaving books are for partners and admins, unless they give you access.
Who decides who does what?
While your firm holds the books, you do. Under Who does what, set each area to an adviser or The business itself: Bookkeeping, BAS / IAS, Payroll & STP, TPAR, Income tax and Year-end accounts. Only the assigned party can lodge.
How do I stop changes to a finished period?
Set Lock dates on the same screen. The ledger guide explains the two dates.
How do I hand the books to the client?
- Under Hand over to the client, enter the Client’s email.
- Choose Send invitation.
The screen shows who it was sent to and when it expires. Waiting on them? Resend or Cancel the invitation. Once they accept, the books are theirs and they control who has access. Your firm stays on as their accountant.
After handover, the owner decides who does what, not your firm. Sample practices can't hand books to real people.
What happens if we stop working together?
Once the client owns the books, Stop advising ends your access straight away. While your firm still holds them, hand them over first. A read-only trial balance for each year stays under Kept trial balances, along with your client record, returns and workpapers.
