An obligation is something a client has to lodge for a period, like a BAS (business activity statement) for a quarter or an income tax return for a year. Billbook suggests them from the client's type and registrations, and you decide.
How do I set up a client's obligations?
- Open the client's WorkObligations.
- Choose Generate suggestions. Billbook suggests this financial year's obligations.
- Remove anything that doesn't apply, or edit it with the pencil.
- Missing one? Choose Add obligation and fill in the Type, Period, Period start, Period end and Statutory due date.
Generating again keeps everything you've edited, and keeps jobs linked. Removing a suggestion keeps it in the list as Not applicable, so generating again doesn't add it back. To bring it back, edit it and change its Status. An obligation you added yourself is removed for good.
How do I turn an obligation into a job?
In the client's obligations, choose Start job on the row. The job is named after the type and period, and is due on the program date if there is one, or else the statutory date. Once it has a job, the row shows Open job instead.
Obligations that are lodged, assessed or not applicable don't offer Start job.
Who lodges it?
In the Lodged by column, click Firm or Client to switch it. When editing, pick Firm (we lodge) or Client (self-lodges). Ticking a service in the client's services makes its lodgements the firm's.
What's the lodgment program date?
If the client is on your tax agent lodgment program and gets a later date, enter it in Lodgment program due date. It shows in the Program due date column, and Billbook uses it instead of the usual date.
How do I track progress on an obligation?
Edit it and set the Status: Not started yet, In progress, Lodged, Assessed or Not applicable. The type and period can't be changed; remove it and add it again if they're wrong.
How do I see every client's due dates?
Open WorkCalendar. Each month shows what's due on each day, how many are due and how many are overdue, marked Upcoming, Overdue or Lodged / done. Use the arrows to change month, or Today to come back. Click an item to open that client's obligations and start its job.
How do I set up the new financial year?
Once the new financial year starts, the calendar offers Roll forward to the new year. Confirm, and it adds the year's obligations for every client who had obligations last year. Running it twice adds nothing twice.
Who lodges each one follows the client's services. A client with no services keeps last year's firm or client choice.
Rolling forward adds obligations only. To get the year's work on the Board, choose Start job on each one in the client's obligations, or send a new engagement letter.
Changing obligations, and rolling the year forward, needs permission to generate them. Without it, those buttons don't show. Starting jobs needs permission to move jobs.
