The gist
- Billbook works out pay, tax and super from what you enter. Getting it right for your staff is still on you as the employer.
- Card payments on invoices and sending STP from Billbook are coming soon. These terms will apply when they're switched on.
This summary helps you read the document. The full text below is what applies.
1. About these terms
These terms apply on top of the Terms of Use when you use payroll, super, Single Touch Payroll, card payments, e-invoicing or the bill reading features.
2. Payroll and super
Billbook calculates pay, tax withholding, leave and super from the information you enter (such as pay rates, hours, employment type and employee details) and the rates built into the service. As the employer you remain responsible for:
- paying the right wages and entitlements under the law and any award or agreement that applies;
- withholding and paying tax correctly;
- paying super on time, including within the Payday Super deadlines;
- keeping employee records and giving payslips as the law requires; and
- the accuracy of what's reported to the ATO and to super funds.
Check each pay run before you approve it. Billbook keeps a record of every pay run, so you have the history you need.
3. Payslips and pay records
Employees you invite to the employee app can see and download their payslips there while they have access. Their access ends if you remove it or close the business.
As the employer, you're responsible for keeping pay records and for giving employees, including employees who leave, their payslips and copies of their records as the Fair Work Act 2009 (Cth) requires. Don't rely on the employee app for this once someone no longer has access.
If your business closes, you're still responsible for providing pay records. The owner keeps read-only access to the books, including pay runs, and can download them, for the period set out in the Terms of Use under "After an account closes".
4. Single Touch Payroll and lodging
Sending Single Touch Payroll reports and other lodgements straight to the ATO from Billbook isn't available yet. When it is, you'll authorise us to send them on your behalf, you'll be responsible for the information in them, and we'll show you the ATO's confirmation of what it received.
5. Card payments on invoices
A pay now button on invoices is built but switched off until Billbook's connection to our payments provider (Stripe) is live. When it's switched on and you connect your own Stripe account, card payments are processed by Stripe under its own agreement with you, which you accept when you connect. Stripe's fees come off each payout, and you can see them in your Stripe account. Disputes and refunds about a payment are between you and your customer.
6. E-invoicing
Sending and receiving e-invoices through the Peppol network isn't available yet. When it is, you'll be responsible for the details you send and for checking what you receive.
7. Bills and receipts read for you
When Billbook reads a receipt or bill for you, check the result before you approve it. You're responsible for what's recorded in your books.
