Download your data, or close the practice

Download your practice's records as spreadsheet files, or close the practice for good.

Your practice's records are yours. Download them whenever you like, and before you ever close the practice.

How do I download our records?

  1. Open Firm settingsData and closing.
  2. Under Export your data, choose Download (ZIP of CSV files).

You get a ZIP of spreadsheet files you can open in Excel or Google Sheets. It holds clients and contacts and who's linked to whom, jobs, time entries, notes and follow-ups, and a list of documents on client files.

Only the practice owner can download or close the practice. Clients' own books stay with the clients.

How do I close the practice?

  1. Download your records first.
  2. Under Close this practice, read what will happen.
  3. Choose Close this practice, type the Practice name to confirm, and close it.

What happens when we close?

  • Your team loses access straight away, and pending invitations are cancelled.
  • Your connection to clients' books ends. Clients keep their own books and can keep using Billbook.
  • Requests still waiting on clients, such as signatures and documents, are cancelled.
  • Your firm's own books close too, and become a read-only record.
  • You can still download your records after closing.

What do I see after closing?

Signing in takes the owner to a page saying the practice is closed and until when its records are kept. From there:

  • Download your records (ZIP of CSV files).
  • Part of another practice? Choose it from the link on that page.
  • Your sign-in itself is managed from your account in the Billbook app.

Closing can't be undone. Billbook keeps the practice's records for a period so you can meet your own record-keeping duties, then deletes or de-identifies them. You can ask in writing for them to be deleted sooner.
