Take card payments on your invoices

Connect your own Stripe account so customers can pay an invoice by card with Pay now, and Billbook records each payment for you.

  1. Connect Stripe
  2. Send the invoice
  3. Customer pays
  4. Marked paid

Your online invoices can have a "Pay now" button. The customer pays by card, the money goes to your own Stripe account, and Billbook records the payment against the invoice by itself. There's nothing to type in.

Stripe is the payment service that handles the card. Connect a Stripe account you already have, or make a new one along the way.

How do I switch on card payments?

  1. Open SettingsPayment methods.
  2. Under Card payments, choose Connect Stripe. Stripe opens in a new tab.
  3. Sign in to Stripe or make a new account, and give Stripe the details it asks for.
  4. Come back to Billbook. When the card says Taking payments, you're done.

If it says Finish setting up, Stripe needs more details. Choose Continue setup. Choose Check status if you've finished in Stripe and Billbook hasn't caught up yet.

Connecting Stripe needs permission to manage settings. Ask the business owner if you don't see the button.

How do customers pay?

Once Stripe is ready, Card (pay online) joins your payment methods and is ticked on new invoices. Your customer opens the invoice from your email, chooses "Pay now" and pays by card. The button only shows while there's something owing.

You can untick card on any one invoice under How the customer can pay, like any other payment method.

Where does the money go in my books?

Each payment is recorded against its invoice, into a Stripe account under Payment clearing accounts on Bank. That's the money Stripe is holding for you.

Stripe takes its fees out before it pays you, so the deposit in your bank is a little less than what customers paid. When you reconcile that deposit, record Stripe's fees too, so the Stripe account comes back to about zero.

Don't import a Stripe file as well

Card payments on your invoices are already in your books. Billbook won't import a Stripe payout file while card payments are connected, so nothing counts twice.

How do I stop taking card payments?

Choose Disconnect on the Card payments card. "Pay now" disappears from your invoices. Your Stripe account stays open, and payments already recorded stay in your books.
