Repeating invoices and payment reminders

Raise the same invoice on a schedule and let Billbook chase customers who haven't paid.

  1. Approved invoice
  2. Make repeating
  3. Reminders

Good for rent, retainers and subscriptions. A repeating invoice starts from one you've already approved, and reminders nudge customers who still owe you.

How do I make an invoice repeat?

  1. Open an approved invoice.
  2. Open the ⋯ menu and choose Make repeating.
  3. Set Repeat every to a number of weeks or months.
  4. Check the First invoice date and, if it ends, Stop after.
  5. Under Each time, choose what happens to each new invoice.
  6. Choose Start repeating.

Writing a new invoice? Use Approve and repeat… in the editor's save menu to do both at once.

What does each choice do?

  • Save it as a draft: you check it and approve it yourself.
  • Approve it: it's ready to send and counts as owing.
  • Approve and email it: it goes straight to the customer.

How do I pause or stop one?

Open SalesRepeating & reminders, choose the ⋯ next to it, then Pause, Resume or Delete. Invoices it already raised stay as they are.

Resuming skips the periods it was paused for, so the customer isn't billed for the gap. Archiving a customer pauses their repeating invoices too.

How do I set up payment reminders?

  1. Open SalesRepeating & reminders.
  2. Under Payment reminders, type a number of days.
  3. Choose days before or after it's due, then Add.

Each reminder is emailed once per unpaid invoice, in Billbook's standard wording. Remove one with the cross beside it.

Reminders go to every customer who still owes you. To leave one customer out, untick Send automatic payment reminders when they're late on their contact.
