Which file to download from each platform

The export Billbook needs from Shopify Payments, Stripe, Square, PayPal and Afterpay, and what it takes from each one.

Each platform has its own report for payouts. Download it as a CSV, then add it on that platform's page in SettingsApps. The same list is under What you need on each page.

Menus in other companies' software change often, so we name the report rather than the clicks. Search for the report's name in that platform, or in its help pages.

Whichever platform it is, start the export a few days before the first payout you want, so every payout is whole.

Shopify Payments

  • Payout transactions (needed). Every charge, refund, fee and adjustment, grouped into the payouts Shopify paid into your bank. Search "payouts" in your Shopify admin and export the transactions.
  • Orders export (optional). Only if you sell things without GST: it gives each order's real GST. Without it, Billbook takes 1/11 of each sale. Export your orders for the same dates.

Sales paid by PayPal or Afterpay at your checkout aren't in Shopify's payouts, so import those on their own pages. Shopify's monthly bill isn't in your payouts either: add it as a bill.

Stripe

  • Itemised payout reconciliation report (needed). Every charge, refund and fee, with the payout each one went into. Search "payout reconciliation" in your Stripe Dashboard. Stripe's older balance export works too.

If your customers pay your Billbook invoices by card, those payments are already in your books, so Billbook won't take a Stripe file as well.

Square

  • Transactions export (needed). Each sale, refund and fee with its GST, and the deposit it went into. Search "transactions" in your Square Dashboard, and include the Deposit ID and Deposit Date columns. A deposits export works too, but then Billbook asks whether your prices include GST.

Cash taken through Square never reaches a deposit. Record it when you bank the cash.

PayPal

  • Activity download (needed). Every payment, refund and fee, day by day, and each withdrawal to your bank. Search "activity download" in PayPal and choose balance-affecting transactions.

PayPal's fees have no GST, so there's none to claim on them. Money you spent from your PayPal balance is a purchase: add it as a bill or spend money.

Afterpay

  • Settlement export (needed). Each settlement with its orders, refunds and fees, including the GST on the fees. Search "settlement" in the Afterpay Business Hub.
