Add and manage customers, suppliers and contacts

Keep one list of the people you sell to and buy from, with their terms, details and money on account.

Every customer and supplier lives in one list. A contact can be both, so a business you sell to and buy from only appears once.

How do I add a contact?

  1. Open Contacts and choose New contact.
  2. Type their name or ABN in Name and pick the match to fill in their details.
  3. Tick Customer, Supplier, or both.
  4. Add an Email. Invoices, quotes and statements go there.
  5. Choose Create contact.

Only the name is required. You can also add someone new straight from an invoice by typing their name in Customer.

Can I set their payment terms?

Yes. Under When you sell to them, set Payment terms, a Sales account and a Tax rate. New invoices fill these in, and you can still change them on the invoice. Suppliers get the same under When you buy from them, plus their bank details for batch payments.

How do I turn off payment reminders for one customer?

Open the contact and untick Send automatic payment reminders when they're late, then Save changes.

What's money on account?

Prepayments, overpayments and credit notes waiting to be used. They show under Money on account on the contact. Choose Receive a prepayment when a customer pays before you invoice them.

How do I tidy up duplicates?

Open the contact you want to keep, choose More actions, then Merge a duplicate into this contact. Everything recorded against the duplicate moves across and the duplicate is archived.

Archive contact hides a contact from lists and pickers and pauses their repeating invoices. Their invoices stay, and Restore contact brings them back.

Can I group contacts?

Yes. Choose Groups on the contacts list to make groups, then filter the list by group.
