Credit notes, refunds and money on account

Take money off what a customer owes, refund them, or hold a prepayment until you invoice.

  1. Credit note
  2. Approve
  3. Apply or refund

A credit note takes money off what a customer owes, for a return, a discount after the fact or a billing mistake. Once approved, the credit waits on their account until you use it.

How do I make a credit note?

  1. Open SalesCredit notes and start a new credit note.
  2. Choose the Customer and add the lines you're crediting.
  3. Choose Approve.

The credit note then shows as Available.

How do I use it on an invoice?

  1. Open the customer's unpaid invoice.
  2. Open the ⋯ menu and choose Apply credit.
  3. Pick the Credit and the Amount to apply.
  4. Choose Apply credit.

You can also apply it from the customer's contact, under Money on account.

How do I refund the customer instead?

Open the approved credit note and choose Refund. Enter the Amount, the Date and the account it was Paid from, then Record refund.

What if a customer pays before I invoice?

Open their contact and choose Receive a prepayment. It sits under Money on account until you apply it to an invoice or refund it.

What if they pay too much?

When you Record payment, tick They paid more than they owe. The extra stays as credit on their account.

Can I write off an invoice that won't be paid?

Yes. Open the invoice, open the ⋯ menu and choose Write off as bad debt. Billbook makes a credit note for what's owing and the GST comes back off your BAS (Business Activity Statement).

A credit note in another currency can't be refunded from here. Apply it to one of that customer's invoices instead.
