Change, void or delete an invoice

Fix a draft, void an approved invoice, or delete one you don't need.

What you can do depends on the invoice's status. A draft can change freely. An approved invoice is in your books, so you void it and start again.

How do I change a draft?

Open the invoice and choose Edit. Drafts and invoices Awaiting approval can be edited.

How do I change an approved invoice?

You can't edit it once it's approved. Instead:

  1. Open the invoice, open the ⋯ menu and choose Copy.
  2. Fix the new draft and approve it.
  3. Go back to the old invoice and Void it.

Only taking a little off? A credit note does the job without voiding anything.

What does voiding do?

The invoice comes out of your books and your BAS, but stays in your list under Voided so the number isn't reused. Voiding can't be undone.

Why can't I void a paid invoice?

An invoice with payments or credits on it can't be voided. Remove those first:

  1. Open the invoice and find Payments & credits.
  2. Choose Remove payment beside each payment.
  3. Void the invoice.

Removing a payment reverses its bank entry. If it was part of a batch deposit, the whole deposit is removed.

How do I delete an invoice?

Open a draft, open the ⋯ menu and choose Delete. It's removed for good. Approved invoices can't be deleted, only voided.
